A. DEFINITIONS OF TERMS
• Baggage: Client’s personal belongings packed for travel.
• Booking: A provisional order request by the client for tour or travel services provided by Kilimap Adventures.
• Cancellation Fee: A fee deducted from the total safari/travel program cost to cover any advance expenses incurred by KilimAP Adventures.
• Cancellation Policy: A document containing procedures and conditions that clients and/or service providers must observe when terminating a booked program.
• Consequential Damages Liability: Damage caused in the course of providing or using Kilimap Adventures’ services.
• Departure: The date when a client starts the safari/tour program or returns home.
• Deposit: An advance payment made to Kilimap Adventures’ bank account for a booked safari program.
• Website: https://www.kilimapadventures.com is the official website of Kilimap Adventures.
• Privacy Policy: A document that explains how Kilimap Adventures gathers, uses, discloses, and manages a client’s sensitive data.
• Refunds: Cash paid back to the client after all refund policy procedures have been met.
• Reservation: Provision of an initial place in the tour program, subject to final confirmation.
• Travel Documents: All necessary documents required for travel, including VISA, passport, insurance, vaccination certificate, etc., depending on the client’s country of residence.
• Trip: A complete tour program.
• Unforeseen Circumstances: Events that occur unexpectedly after the client has started his/her safari (e.g., natural disasters, political unrest).
B. ABOUT THE BOOKING TERMS AND CONDITIONS
These Terms and Conditions apply to bookings made directly by clients or through agents booking on behalf of clients.
Bookings and contracts are deemed to have been concluded in Arusha, Tanzania, and shall be interpreted in accordance with the laws of the United Republic of Tanzania.
Kilimap Adventures reserves the right to change prices, booking terms, cancellation fees, and conditions at any time without prior client consent. This includes changes due to government taxes or third-party service fees affecting the trip cost.
C. TERMS OF BOOKING
Kilimap Adventures accepts bookings subject to these Terms and Conditions.
The company reserves the right to reject any booking that violates these terms, with or without providing reasons to the client.
D. DEPOSITS AND PAYMENT
1. A 30% deposit is required to secure a booking. This deposit forms part of the trip cost and will be deducted from the total amount payable.
2. Full payment must be received at least 30 days prior to departure. Failure to do so may result in cancellation, and the deposit will be forfeited.
3. Bookings made within 30 days of departure must be paid in full immediately.
4. All bank charges and transfer fees are the responsibility of the client/agent.
5. The amount reflected on the invoice is the amount that must be received by Kilimap Adventures, exclusive of bank charges.
E. BOOKING AMENDMENTS
• Amendments (e.g., travel dates, accommodation, participant numbers) incur a USD 50 handling fee per booking, in addition to any service provider charges.
• Additional costs from amendments will be borne by the client/agent.
F. BOOKING PROCEDURES
1. Submit an online booking form via
https://www.kilimapadventures.com. By doing so, you accept these Terms and Conditions and our Privacy Policy.
2. The person submitting the booking form warrants that they have the authority to enter into a contract on behalf of all participants listed. In case of default by any participant, the lead client assumes full liability for all payments.
3. Upon receiving the booking form and confirming the program details, Kilimap Adventures will issue a detailed itinerary and program cost.
4. A 30% deposit must be paid to secure the booking.
5. Upon receipt of the deposit, KilimAP Adventures will issue a confirmation letter, reservation documents, and safari preparation information.
6. Final payment is due 30 days before the trip start date. Late applicants may join only if accommodation and transport are available.
7. If Kilimap Adventures cannot provide the booked services, the deposit will be fully refunded.
8. The company reserves the right to subcontract services to trusted partners without prior client consent.
G. CANCELLATIONS
1. Cancellation by the Client
• Cancellations must be submitted in writing (email or website form). Phone follow-up is recommended to avoid miscommunication.
• Cancellation fees:
o 90+ days before departure → 15% of total program cost.
o 89–30 days before departure → 30% of program cost.
o 29–14 days before departure → 50% of program cost.
o 13–7 days before departure → 75% of program cost.
o 0–6 days before departure → No refund.
2. Cancellation by the Company
• If Kilimap Adventures cancels, all deposits will be refunded (minus any prepaid expenses for hotels, equipment, etc.).
• No refunds will be made if cancellations are due to unforeseen external factors (see Section O).
Note: Cancellation insurance is compulsory. Clients are responsible for arranging coverage.
H. CHANGE OF BOOKING
• Changes requested by the client to earlier departure dates may be allowed subject to availability, with a USD 25 transfer fee.
• Normal cancellation fees still apply.
I. TRAVEL DOCUMENTS
Clients are responsible for ensuring they have valid travel documents (passport, visas, vaccination certificates, etc.).
Kilimap Adventures may assist but bears no liability for missing or invalid documents.
J. INSURANCE
Comprehensive travel insurance is compulsory and must cover:
• Trip cancellation or curtailment
• Emergency evacuation
• Medical treatment
• Repatriation
• Theft or loss of personal belongings
Kilimap Adventures is not liable for costs related to uninsured incidents.
K. INDEMNITY & LIABILITY
• Kilimap Adventures is not liable for delays, injury, illness, theft, death, or damages arising from circumstances beyond its control.
• Clients acknowledge that safari and trekking activities carry inherent risks, including wildlife encounters, accidents, and unpredictable weather.
• The client expressly assumes all risks and agrees not to hold the company liable.
L. HEALTH
• Clients must ensure they are medically fit to travel.
• A medical certificate is required for travelers over 65 years old.
M. FACTORS OUTSIDE COMPANY CONTROL
Events such as bad weather, political unrest, road closures, strikes, and natural disasters may affect itineraries.
Any additional costs (accommodation, transport, food) are borne by the client.
N. BAGGAGE
• Limit: 12kg in a soft bag (including cameras and carry-ons).
• Extra baggage storage may be arranged at an additional cost.
• Kilimap Adventures is not responsible for lost or damaged baggage.
O. AIRLINE RESPONSIBILITY
Airlines and carriers are responsible only under their own contracts. Kilimap Adventures is not liable for issues outside its services.
Right to change prices, booking terms, cancellation fees, and conditions at any time without prior client consent. This includes changes due to government taxes or third-party service fees affecting the trip cost.
P. MARKETING & PUBLICITY
• Kilimap Adventures reserves the right to use photographs and videos taken during trips for marketing.
• Clients consent to this use unless they explicitly request otherwise.
Q. AGE LIMITS
• Age policies vary by program. Please confirm before booking.
• If false age information is provided, Kilimap Adventures reserves the right to terminate participation without compensation.
R. PRICE INCREASES
All prices are based on current government taxes and park fees. If these increase, the additional costs will be passed to the client, even for confirmed bookings.
S. CONSENT
Payment of a deposit or partial trip cost indicates full acceptance of these Terms and Conditions.
